The three-question recap

  • What was decided? Name the decisions, not the discussion.

A worked example

'We decided to ship the pricing page update on Friday. Sara is writing copy by Wednesday. Ali is publishing on Thursday afternoon. I will send a follow-up if anything shifts.' That is 45 seconds of speech and roughly the entire useful output of the meeting.

Cleanup for meeting notes

  • Fix names first.
  • Split any sentence longer than three clauses.
  • Add bullet points for decisions and owners.
  • Delete side discussions unless they changed a decision.

Common mistakes

  • Writing the recap tomorrow; by then the decisions blur.
  • Sending the raw transcript without cleanup.
  • Recording the whole meeting instead of summarizing what mattered.
  • Using vague ownership like 'we' or 'the team'.

After the recap, copy the decisions and owners into an email. Add a one-line greeting, a one-line thank-you, and a due-date reminder. Send. The whole flow from meeting-end to inbox is usually under five minutes.
