The four-part follow-up structure

  • Acknowledgment: reference the last conversation in one sentence.
  • Nudge: state what is still open.
  • Next step: propose a specific action with a date or link.
  • Exit: remove pressure. Explicit permission to say no or later.

Example: post-demo follow-up

Voice: "Hi Sarah, thanks for the walkthrough yesterday. Still open on your side: the pricing approval and the security review. I can send a one-page summary that answers both. Would end of this week work, or is next Tuesday better? Totally fine if timing is off." Edit for names and dates and it is ready to send.

Example: renewal check-in

Voice: "Hi Ana, checking in ahead of your renewal in six weeks. Any changes on your side we should know about? Happy to jump on a call, or send a short renewal summary if that is easier. No pressure either way."

Common mistakes

  • Sending the raw transcript without editing.
  • Skipping the acknowledgment and starting with the ask.
  • Adding new information the prospect never asked for.
  • Making the exit line passive-aggressive; keep it clean.
  • Dictating the same email ten times instead of building a personal template.
