How to dictate meeting summaries

A summary from the person who ran the meeting is worth more than a full transcript. Zahvox is not a meeting bot; it is the fastest way to speak the summary right after the call and share the result.

Quick answer

Within five minutes of the meeting ending, open zahvox.com/tool. Speak a four-part summary: purpose, decisions, actions, follow-ups. Edit for names and dates. Paste into Slack, Notion, or a shared Doc so the team can read it in under a minute.

Zahvox is not a meeting bot

It does not join calls. It does not record other people. It does not transcribe Zoom, Meet, or Teams. It captures your voice after the meeting so you can produce a summary quickly. That is a different product category, and it is the honest one.

The four-part summary structure

  • Purpose: what the meeting was for, in one sentence.
  • Decisions: what was agreed. One sentence each.
  • Actions: who owns what, with a rough date.
  • Follow-ups: what needs another meeting or a check-in.

Example: after a weekly product sync

Voice: "Summary of the weekly product sync. Purpose: prioritize the next two weeks. Decisions: ship the export improvement this week; move the mobile refresh to next sprint. Actions: Ana owns the export QA, Priya owns the mobile spec, both by Friday. Follow-ups: security review needs its own call next week." Edit and share; three minutes of work.

Common mistakes

  • Dictating a full replay of the meeting; the audience will not read it.
  • Waiting an hour; the summary quality drops with every gap.
  • Leaving out owners on actions.
  • Sending the raw transcript without editing.
  • Trying to recreate the meeting; a summary is not minutes.

The Zahvox workflow

  • Open /tool immediately after the meeting.
  • Allow the microphone once.
  • Speak the four-part summary.
  • Edit for names, dates, and owners.
  • Copy or download.
  • Paste into Slack, Notion, Confluence, or the shared meeting doc.

Between-meeting workflow

If you run back-to-back calls, use the five minutes at the end of each block. Speak the previous meeting's summary, paste it, then jump to the next call. This is how you keep summaries from piling up until the end of the day.

Browser and device notes

Chrome or Edge on desktop are the most reliable for the summary workflow. On mobile, Chrome on Android or Safari on iPhone work for short summaries between meetings. Zahvox auto-restarts supported browser speech recognition sessions where allowed.

Honest product status

Zahvox does not connect to Slack, Notion, or meeting platforms today. That is on the roadmap. Do not dictate confidential or regulated meeting content into any browser recognizer.
