How to dictate client notes

The best client note is the one you actually write. Voice is the shortest path between hanging up the call and having a note that survives to the next meeting.

Right after the call, open zahvox.com/tool. Speak a two to five minute recap covering decisions, action items, blockers, and the next step. Edit the transcript for names and dates. Paste into your CRM, project workspace, or client folder.

The five-part recap structure

  • Context: who was on the call, when, and what the topic was.
  • Decisions: what was agreed, in one sentence each.
  • Action items: who owns what, with a rough date.
  • Blockers: what is not resolved yet.
  • Next step: the concrete follow-up and when it happens.

Example: after a 30-minute client discovery call

Voice: "Call with Ana at Northwind. Talked through onboarding. Decision to move to the new billing flow next month. Ana will send us the current pricing table this week. We will send back a migration plan by next Friday. Blocker is legal review on the new terms; not resolved. Next step is a follow-up call in two weeks." That is enough to become a real note after cleanup.

Common mistakes

  • Dictating a play-by-play of the call instead of a recap.
  • Leaving out owners on action items.
  • Waiting hours; the recap gets weaker with every meeting between now and then.
  • Sending the raw transcript without editing names and dates.
  • Dictating sensitive client information into any browser recognizer.

Honest product status
